WGC Committee Responsibilities 2020-2022
Annual Luncheon
Arranges details for the May final meeting and luncheon. Officers installed every other year.
Awards
Applies for club awards and reports on awards received.
Christmas Party
Finds a member to host the party, sends invitations and arranges party details including food, beverages, set-up and clean-up.
Civic Affairs/Beautification
Communicates with the Westham Civic Association and acts as a liaison representing the club. Reports back to the club on affairs that pertain to the community. Preserves the natural beauty of Westham by also supporting the Civic Association and the County of Henrico efforts. Projects include leaf raking and removal, the care of established planting and common areas, and periodic clean-up days.
Conservation and Birds
Informs members of conservation issues that affect our neighborhood. Encourages members to provide bird friendly habitats in their yards.
Custodian and Life Membership
Oversees and records the contributions of individual members, one of whom is recognized with the annual “Life Membership” award at the May luncheon. Chairman: Richmond Council Representative
Finance
Submits an annual budget, pays bills, keeps accurate records, and advises the membership of the financial status of the club. This committee is the responsibility of the treasurer.
Garden Therapy
Coordinates the Three Chopt Elementary School program for students with special needs and plans an experience in gardening once a month during the school year.
Hostesses
Coordinates the list of members who volunteer to serve as hostesses at monthly meetings and board meetings.
Hostess Christmas Party
Finds member to host the party, sends invitation and plans party details.
Hostess Spring Party
Finds member to host party, sends invitation and plans party details.
Information for Hostesses
Thanks to all hostesses who have agreed to make our general meetings more welcoming!
Hostesses should arrive at 9:00am to set up for the 9:30am meeting. Hostesses should supply napkins, plates, cups for water/juice and a few finger foods suitable for placement on two small tables. Hostesses should stay to clean up after the meeting.
Mandatory: Reimbursement forms must be completed with receipts attached for hostesses to be paid. There is $35 allotted per meeting. Give the Reimbursement Form to the club treasurer so that you can be reimbursed.
Membership
Invites new residents to join the club and keeps a current list of members and contact information and sends all changes in membership to Website Chairman and the Treasurer. This committee is the responsibility of the Second Vice President.
Parliamentarian
Interprets the bylaws and answers questions about procedures.
Programs
Plans and provides programs for the regular meetings. This committee is the responsibility of the first vice president.
Publicity
Publicizes matters of interest and and fund raising events.
Representatives to the Richmond Council and Piedmont District
Attends the monthly meetings of Richmond Council of Garden Clubs and the twice yearly meetings of the Piedmont District and reports back to the club on all pertinent information.
Scholarship
Coordinates the giving of horticulture and other scholarship when club funds are available and the board approves of the expenditure.
Spring Party
Solicits a member to host the evening party in her home, sends invitations, coordinates food, beverages, party set-up and clean-up.
Sunshine
Sends cards or personal notes from the club to members as needed.
TES Garden Liaison
Coordinates club members’ participation in the gardens at Tuckahoe Elementary School.
Ways and Means
Raises funds for programs, club expenses, activities and special projects.
Web Site
Maintains and updates the WGC website and keeps the site accurate and current. All club information is on the website.
Yearbook
Gathers club information for annual WGC Yearbook and oversees printing and distribution to members.
